Comoo NV is a company and parent company of Care4Fleets, DriveX, and Care4Drivers, with its registered office located at Schaarbeeklei 485, 1800 Vilvoorde, known under KBO number 0725.425.683. This privacy statement applies to the processing of personal data by Comoo. Comoo respects your privacy and values that our services are provided in an open, honest, and transparent manner. This Privacy Statement explains which personal data Comoo collects and for which purposes this personal data is used.
Purpose
The use of information collected via our service is limited to the purpose of providing the service for which the customer has engaged Comoo. If Comoo were to process personal data for other purposes, Comoo will request prior consent from the customer.

As used in this Privacy Statement, the term ‘personal information’ refers to any information relating to an identified or identifiable natural person. This Privacy Statement applies to personal information that Comoo collects and processes in the context of its operations. Our website and/or service does not intend to collect data about website visitors under the age of 16. However, we cannot verify if a visitor is older than 16. Comoo collects, processes, uses, and stores your personal data for various business purposes, including:

In order to provide optimal service, maintain necessary administration, comply with obligations, and fulfill commitments, Comoo must process the necessary personal data. We also process personal data of our employees in our administration based on employment contracts.

Business customers (lease drivers) are not proactively approached with commercial mailings or newsletters.

Comoo may use your personal data to optimally provide existing services or develop new services. Comoo acts in accordance with the General Data Protection Regulation (GDPR) in the collection, use, and retention of personal data and processes personal data solely on the following grounds:

Comoo has a legitimate interest in acquiring customers and maintaining relationships and therefore collects certain personal data. This applies to the following data:

These details are needed when making an appointment or agreeing to a task. For example, we can inform you if an appointment needs to be changed or if repairs need to be coordinated after the inspection of your vehicle. Comoo also retains your data for billing purposes. Your email address and/or phone number are only used to send commercial messages if you have opted in.
3) User consent
For the use of cookies, we ask for your consent when visiting our website. However, certain analytical and functional cookies (Google Analytics and e.g., shopping cart cookies) are placed by default. For analytical cookies, your IP address is always anonymized.
4) Compliance with legal obligations
Comoo needs to process personal data because of a number of legal obligations. Sharing personal data Comoo does not share your data with others, only if it is necessary for the performance of our services and/or if we have a legal obligation. In that case, we share data with: 1) Own employees We share data with our employees if the processing purpose is in line with the position. For example: an employee of one of our branches contacts a customer or you as a driver of a company car to support with a question. 2) Suppliers, subcontractors, insurers and insurance brokers We work with numerous service providers who are necessary to carry out the maintenance and repair of a vehicle. For this purpose, we have agreements with each of them regarding obligations and competences. 3) Tax administration In the event of tax requests, data may be shared with the administration.
Retention of personal data
Comoo will not retain your data for longer than necessary to achieve the purposes stated in this privacy statement. The retention period for our records is seven years, in accordance with the legal obligation. This includes agreements concluded with you. The period starts after the agreement is terminated. If you send us an e-mail or ask a question via a contact form, the data you send us will be kept for as long as is necessary according to the nature of the form or the content of your e-mail for it to be fully answered and processed. Data for marketing activities will be kept indefinitely, for example in case of ‘opt-in’ selection to receive emails, or after contact has been made in the context of offering certain services.
Securing personal data
Comoo takes all reasonable steps to protect your personal data adequately, as well as to protect such information from loss, misuse and unauthorised access, dissemination, alteration or destruction. However, Comoo wishes to point out that Internet traffic is never 100% secure or fault-free, and this applies in particular to sending e-mails to and from a website. It always remains your own responsibility to keep passwords, identification numbers and other access methods secret and protected.
Inspection, modification, blocking or deletion of personal data
To know what personal data Comoo collects and uses from you, you can submit a request to this effect. You also have the right to the following actions:
- correct or remove your personal data
- withdraw your permission for data processing
- object to the processing of your personal data by Comoo
- data portability; this means that you can submit a request to us to have your personal data that we hold in electronic form sent to you or another organisation named by you.
You can send a request for inspection, correction, deletion, objection or data transfer to info@comoo.be. To ensure that the request for inspection is made by you, we ask you to send a copy of your proof of identity with the request. On this copy you should black out your passport photo, MRZ (‘Machine Readable Zone’ = strip with numbers at the bottom of the passport), passport number and Citizen Service Number (BSN). This is to protect your privacy. We will respond to your request within four weeks.
If you have a complaint about the way Comoo processes your personal data, you can report this to info@comoo.be. Should this not lead to the desired result, you can submit a complaint to the national regulator. the Data Protection Authority at www.gegevensbeschermingsautoriteit.be.
